DESCRIPTION:

The ASEAN Secretariat (ASEC) and the Australian Government, through the Australia for ASEAN Futures (Aus4ASEAN Futures) Initiative, solicit a quotation for the following program outreach product:

SUBMISSION REQUIREMENTS:

Participating vendors can either submit the quotation or fill up the attached Specification Form (Form C). Quotation should be submitted to Aus4ASEAN Futures at aus4aseanfutures@asean.org, no later than 15 May 2026. Physical samples for materials and quality of the printing to be delivered to us at the latest by 15 June 2026. For inquiries, please email query@aus4aseanfutures.org with subject “Provision of Program Outreach Products – Query” at the latest by 6 May 2026.

Response to received queries will be published at Aus4ASEAN Futures’ website (https://www.aus4aseanfutures.org/). No individual responses or replies will be provided for queries. Please check the page regularly for updates.

RESPONSES TO QUERIES

1. For the plastic panel, may we have a reference or sample of the shape? For the pull-up banner, may we know the preferred size? (Posted on 23 April 2026)

All specifications, size, reference picture, and sample can be found in the RFQ document and Brand Guideline.

2. Can we send our own proposal or do we have to use Form C for the quotations? Do all forms need to be filled and submitted? (Posted on 23 April 2026)

Vendors must submit all forms (Form A, B, C, D) stated in the RFQ documents, including using Form C for the quotations.

3. As a vendor, we are required to send physical samples for further assessment. Our inquiry is, we would be grateful if you could inform us, to whom should we addressed the samples? (Posted on 23 April 2026)

The samples should be addressed to Aus4ASEAN Futures, and the delivery location can be found in the ToR (Terms of Reference).

4. Is there a procurement platform where a company required to register in advance, or should the company simply follow the terms and instructions outlined in the provided document? (Posted on 30 April 2026)

Please follow all the instructions from the TOR for participating in this tender.

5. Regarding the requirement stating “Aus4ASEAN Futures logo,” kindly confirm whether this refers only to the “Aus4ASEAN Futures” wording, or also includes the Australia and ASEAN logos? (Posted on 8 May 2026)

We would like it to include the words and logos.

6. Please clarify regarding the emboss detail mentioned for the crest. Does this refer to an embossed effect directly on the leather material, or to a separate emblem/badge application? The reason is because the Australia and ASEAN logos contain intricate details that may be difficult to reproduce using the embossing technique. However, if the intended logo is only the “Aus4ASEAN Futures” wording, this would be applicable for embossing. (Posted on 8 May 2026)

If possible, we would like it embossed directly on the leather material. If this is not possible, and/or the supplier thinks it will not look professional, suppliers are welcome to suggest alternative suggestions (i.e. attaching an emblem/badge).
